It moves financial events from your project and CRM data into QuickBooks without a person retyping them. For an installer that means a signed contract creating a customer and an invoice schedule, a deposit payment being matched to the right invoice, and a distributor bill from a module or inverter supplier landing against the correct job.
Off-the-shelf connectors cover customers and simple invoices. They tend to break on solar-specific shapes: one contract with three milestone invoices (deposit, equipment delivery, permission to operate), change orders that alter the contract value after signing, and loan or lease deals where the homeowner pays an installer only part of the system price and a finance partner pays the rest.

Where do solar installer books go wrong?
The common failure is job costing. Equipment, labor and permit fees are entered late or against a generic account, so gross margin per project is unknown until months later. Residential volumes are under pressure: SEIA reported 995 MWdc of residential installs in Q2 2026, down 12% year over year, which makes per-job margin visibility more valuable, not less.
A second failure is stage drift. The project manager marks a job as installed, but the final invoice is still unsent because finance never saw the status change. A third is sales tax and payment-processor fees, where deposits arrive net of fees and the bank feed no longer matches the invoice.
How is the integration built against the QuickBooks Online API?
QuickBooks Online exposes a REST API with OAuth 2.0 authorization, so each installer connects their own company file and revokes access when needed. Vascoh uses webhooks to learn about changes in QuickBooks and the change data capture endpoint to catch anything missed, and reads Intuit's current throttling rules when sizing batches, since those limits change over time.
Every posted record gets an idempotency key stored on your side, so a retry after a timeout cannot create a duplicate invoice. Failed posts go to a review queue with the exact error from QuickBooks, such as an inactive item or a closed period, instead of failing silently.

Which systems can it connect to?
The source can be a solar CRM, a project management tool, a proposal platform, a spreadsheet that the team still trusts, or a custom internal app. Inverter monitoring platforms are usually not an accounting source, but production data can feed performance-based billing for commercial customers or O&M contracts.
Payroll and time tracking matter for installers with crews. Labor hours from a field app can be summarized per job and posted as a journal entry, so labor cost lands on the job and not in one overhead account.
