What does hotel software integration involve?

It means moving data between systems automatically and in a defined direction. Typical flows are reservations from the channel manager into the PMS, room charges from the restaurant POS to the guest folio, rate and availability updates back out to OTAs, and daily revenue summaries into the accounting system.

Access Hospitality's 2025 survey of 1,000 hospitality businesses found 25% run five or more systems and respondents estimate 13% to 19% of operational costs go to duplication and inefficiency. The integration work is what removes the re-keying that causes that cost.

Integration also supports reporting. When reservations, folio charges and payments land in one database, a revenue manager can compare pace, channel mix and ancillary revenue without exporting four spreadsheets. Hotels with several properties on different PMS products gain the most, because a normalized layer lets them see every property in the same format.

Which hotel APIs and standards come up most?

Oracle OPERA Cloud integrations run through the Oracle Hospitality Integration Platform (OHIP). Many other PMS products such as Mews and Cloudbeds publish REST APIs with webhooks for reservation events. Older interfaces use HTNG messaging or OpenTravel Alliance (OTA) XML, which are still common between PMS and channel managers. POS-to-PMS posting often uses a vendor-specific interface, so charge posting needs to be confirmed per vendor pairing.

Partner access matters. Several vendors gate their API behind a certification or partner agreement and charge for it. Confirm API availability and cost before committing to a design.

Testing deserves its own budget. Ask each vendor for a sandbox, build test cases for modifications, cancellations, group blocks, split folios and rate changes, and replay a week of real traffic before go-live. Edge cases such as no-shows posted after night audit are where most surprises appear. Also decide who is on call when a sync stops on a Saturday night.

Where do hotel integrations break?

Three failure modes repeat. First, duplicate or missing reservations when a webhook is delivered twice or not at all, which needs idempotency keys and a periodic reconciliation job. Second, modification and cancellation events handled incorrectly, leaving ghost bookings. Third, rate plan and room type mapping that drifts when someone renames a code in one system.

A good integration includes a mapping table owned by your staff, an exception queue and alerts, so a failed sync is visible within minutes instead of at month-end.

Security belongs in the design. API credentials should be stored in a secrets manager and rotated, guest personal data should be limited to the fields each flow needs, and payment card data should stay with the payment processor and never pass through custom middleware unless the system is built for PCI DSS scope.

Should you buy a connector or build custom?

If both vendors list a maintained connector for your exact pairing, buy it. Custom work makes sense when the connector omits a field you need, when you run an uncommon system, when you operate several properties on different PMS products, or when you need one data layer for reporting and AI features.

Access Hospitality found 60% of respondents have incomplete or unreliable data. A custom integration layer that normalizes reservations, guests and charges into one store gives later projects, including AI assistants, a reliable source.

Plan for vendor change. PMS contracts end and APIs get versioned. Isolating each vendor behind an adapter in your middleware means a PMS migration changes one component instead of every downstream flow.
