Workflow software models a business process as states and transitions: a request is submitted, reviewed, approved or rejected, and acted on, with the right person notified at each step. Custom workflow software encodes your rules instead of a generic template: who can approve what amount, which exceptions skip a step, how long a task can wait before it escalates.
Examples include maintenance work orders in a property portfolio, purchase approvals in a hotel group, engineering change requests in a plant, and parts requests for an aircraft maintenance shop.
Workflow software differs from project management tools. Project tools track one-off work with milestones. Workflow systems handle recurring, rule-driven processes where every instance follows the same path.
Why no-code automation is not always enough
Zapier's Harris Poll found 64% of knowledge workers use automation software at work, and 44% say it saves time. Simple trigger-and-action chains are fine for notifications and data copying. They struggle once a process has branching rules, parallel approvals, versioned documents, per-user permissions or compliance needs.
A chain of twenty zaps with no owner is also hard to audit. When it breaks silently, nobody notices until a customer complains.
Watch for the hidden cost of polling too. Many automation platforms bill by task count, so a process that runs thousands of times a month can become expensive, while the same logic in your own application runs at the cost of hosting.

Measure the before state. Count how many touches a typical request has, how long it waits between steps and how often it returns for correction. Those numbers show whether the new system works.
Reporting comes free once states are explicit. Average time in each state, the number of rejections by approver and the oldest open items are simple queries on the audit log, and they show where the process actually stalls.
Handling exceptions
Most workflow projects fail on exceptions. A purchase over a limit, a vendor with no email, an approver on leave, a request cancelled halfway through: each needs a defined outcome.
