For smaller organizations it usually means building around existing tools. Examples are a portal that lets customers see work order status, a parts request workflow linked to inventory, a tool that turns scanned task cards into structured records, and reports that combine labor hours with billing.
The market gives context. Oliver Wyman's 2025 survey puts global MRO spend above $114 billion in 2024, while the same survey expects a 19% shortfall of U.S. certified mechanics by 2028. With scarce technicians, time spent on paperwork is expensive.
Smaller shops and Part 145 repair stations feel the labor squeeze first, because each mechanic spends time on documentation. Reducing the minutes per work order spent on parts lookup, task card transcription and status updates returns hours to hangar work without changing how airworthiness is determined.
What systems and standards are involved?
MRO and maintenance tracking systems include AMOS, TRAX, Flightdocs and CAMP, among others. ATA iSpec 2200 defines a standard information exchange structure for maintenance and engineering data, and many vendors support it in some form. Others rely on proprietary APIs or file exports such as CSV and XML.
Connected systems usually include the accounting package, parts suppliers, flight scheduling and the customer-facing portal. Check each vendor's API availability, since some maintenance platforms offer limited or paid access.
Aircraft data also arrives from outside the shop: operator maintenance programs, manufacturer service bulletins, airworthiness directives and supplier certificates. A pipeline that ingests these as PDFs, extracts key fields and attaches them to the right aircraft or part number saves search time, with a technician confirming each match.
Customer portals are the other common request. Operators who send aircraft to a shop want to see work order status, findings awaiting approval and estimated return to service. A portal that reads from the maintenance system and requires customer sign-off on additional work reduces phone calls and records approvals with a timestamp.

What makes aviation software different?
Traceability. Maintenance records must remain accurate and auditable, so software that edits them needs versioning, user identity and an audit trail. Records of airworthiness-related work are governed by regulations such as 14 CFR Part 43 and Part 91 for U.S. operators, and the shop's quality system defines who may sign off what.
For that reason, integration projects commonly read from the system of record and write only to fields that are not airworthiness records, with a human step for anything that is. Custom tools should not replace certified maintenance tracking unless the quality system supports it.
Integration with accounting is often the first project. Labor hours, parts issued and outside services on a closed work order can post to QuickBooks Online or another ledger as an invoice, with the work order number carried through so any line item can be traced back. This ends the double entry that otherwise happens between hangar and office, and it tightens the link between quotes and final billing.
Where does AI fit in an MRO workflow?
Oliver Wyman reports 64% of respondents implemented AI in 2025, and 58% of them met or exceeded expectations. Practical uses are document extraction from supplier certificates and task cards, searching historical findings, and drafting quotes from past work orders. Outputs go to a person for review before they reach any record.
Security and access control need attention because maintenance records are commercially sensitive. Role-based access, single sign-on with your identity provider and backups with tested restores are baseline requirements for any custom tool that holds customer aircraft data.
