What can an AI agent do for a restaurant?

An agent is software that takes an input, such as a phone call or a text, decides what to do and calls other systems to do it. For restaurants the practical jobs are answering phone calls about hours, menu and allergens, booking tables in your reservation system, taking pickup orders and pushing them into the POS, and handling back office chores such as invoice entry.

The case is cost pressure. The National Restaurant Association reports 42% of operators had an unprofitable restaurant in 2025 data and more than 90% cite cost pressures. Work that does not require a person on the floor is where automation can help.

Smaller operators often start with a text-based agent because it is cheaper to test than voice. A web chat or SMS agent that answers hours, parking, private event inquiries and catering requests produces useful logs, and the same logic can later be placed behind a phone line once you know which questions dominate.

Where do restaurant AI agents fail?

Menu accuracy is the first failure. An agent that guesses at ingredients or allergens is a liability, so answers should come from a maintained menu record with allergen fields and a hard rule to hand off any allergy question to staff. The second is order injection: if the agent writes orders to the POS, modifiers, item availability (86'd items) and order timing must be handled, or the kitchen receives tickets it cannot make.

Third is telephony quality. Background noise, accents and interruptions are common in a busy restaurant. A voice agent needs a fast fallback to a human or a text link, and the recorded transcripts need review during the first weeks.

Cost control belongs in the design from the start. Voice calls are billed by the minute across telephony, speech recognition and the language model, so a long call about a private event costs more than a thirty-second hours question. Set limits on call length, transfer complex inquiries early, and watch the monthly bill against the number of bookings or orders the agent actually completes.

Which systems does the agent connect to?

Toast, Square for Restaurants and Clover offer APIs for menus and orders, though many require partner approval. Reservations may live in OpenTable, Resy or Tock. Telephony is commonly handled through Twilio or SIP. Accounting is usually QuickBooks Online.

Pick the systems first, then the model. An agent without read access to live menu availability will promise items that are sold out.

Menu data is the foundation. Keep one source for item names, prices, modifiers, allergens and daily availability, and have the agent read from it instead of from a static document. When the kitchen marks an item unavailable in the POS, the agent should stop offering it within minutes.

What should stay with people?

Complaints, large party negotiations, refunds and anything involving allergies. Define these as escalation triggers up front and send the manager a summary of the conversation so nobody starts from zero.

Back office agents should propose, and a person should approve. For example, an agent can read supplier invoices, match them to purchase orders and draft bills in QuickBooks Online, with a bookkeeper approving before posting.

Review and cost control matter too. Set a monthly review of call logs, track the share of conversations handed to staff, and cap what the agent can promise, such as refunds or discounts.
